At Fernside Accounting, we are committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Fernside Accounting Ltd (Company No. 10867432) is registered in England and Wales. Registered office: 37 Orsett Road, Grays RM17 5DS. Trading address: 520 Chigwell Road, Woodford, London IG8 8PA. We are a member of the Institute of Accountants and Bookkeepers (IAB). Fernside Accounting is not VAT registered.

2. What Data We Collect
- Identity: name, date of birth, NI number, UTR number
- Contact: email, phone, postal address
- Financial: bank details, income, expenses, tax information, payroll records
- Business: company registration, VAT numbers, business records
- Technical: IP address, browser type (if contacting via website)
3. How We Use Your Data
- Provide accounting, bookkeeping, payroll and tax services
- Comply with legal and regulatory obligations (HMRC filings)
- Manage our client relationship and communicate with you
- Issue invoices and manage payments
- Fulfil our IAB professional obligations
4. Legal Basis for Processing
- Contract: processing necessary to perform our engagement with you
- Legal obligation: tax, anti-money laundering and professional regulations
- Legitimate interests: to manage our business and client relationships
- Consent: where you have given explicit consent
5. Who We Share Data With
- HMRC and Companies House — as required by law
- The Tax Lead — our supporting Chartered Certified Accountants
- Software providers — Xero, FreeAgent, QuickBooks (all GDPR-compliant)
- Legal or regulatory authorities — where required by law
We do not sell your personal data to third parties.
6. Data Retention
Accounting and tax records are retained for a minimum of 6 years from the end of the relevant tax year, as required by law. Once data is no longer required, it is securely deleted or anonymised.
7. Your Rights
- Right of access — request a copy of your personal data
- Right to rectification — ask us to correct inaccurate data
- Right to erasure — request deletion where legally permissible
- Right to restriction — ask us to limit how we use your data
- Right to data portability — receive your data in a structured format
- Right to withdraw consent — where processing is based on consent
